Getting Started

How do I create an account?
Open STRTrackr and tap "Create Account" on the welcome screen. Enter your email address and tap Create Account. That's it — no password needed during the current early access phase. Your data is tied to your email address.

How do I add my first property?
After logging in, go to the Properties tab and tap the + button in the top right corner. Enter the property name and address, then save. You can add as many properties as you manage.

How do I add participants?
Go to the Participants tab and tap the + button. Add each person who performs activities at your rental — this could be yourself, a co-owner, a family member, or a co-host. Participants are shared across all your properties.

Can I use STRTrackr offline?
Yes. STRTrackr saves everything on your device first and syncs to the cloud when you have an internet connection. You can log activities without wifi or cellular data and they will sync automatically when you're back online.

What activity categories are available?
STRTrackr comes with 8 built-in IRS-aligned categories: Repairs & Maintenance, Cleaning & Turnover, Guest Services & Communication, Property Management, Administration & Bookkeeping, Improvements & Capital Work, Inspections & Compliance, and Other. You can also add your own custom categories to match exactly how you manage your properties.

How do I log an activity?
Go to the Activities tab, tap the + button, select your property and participant, choose the activity category, enter the date, start time, end time (or total hours), add optional notes, and save. You can also attach a photo to document the work.

Can I add a photo to an activity?
Yes. When creating or editing an activity, tap the photo icon to attach a photo from your camera roll or take a new photo. Photos are stored securely in the cloud and tied to that activity record.

Can I edit or delete an activity after saving it?
Yes. Find the activity in the Activities tab, tap on it to open it, and use the edit or delete options. All changes sync to the cloud automatically.
Accounts & Data

Can multiple people access the same account?
Yes. STRTrackr is designed for shared use. Multiple authorized users can log in using the same organization email and access the same data. This is ideal for co-owners or property management teams.

Is my data backed up?
Yes. Your data is stored in Google Firebase (Firestore), a professional cloud database with automatic backups. As long as you're connected to the internet, your data is continuously synced and protected.

How do I sign out?
Go to the Settings tab and scroll to the Account section. Tap "Sign Out" and confirm. Your data remains safely in the cloud and will be available when you sign back in.

How do I delete my account?
To permanently delete your account and all associated data, email us at
info@strtrackr.com with your account email and we will process the deletion within 30 days.
GPS Mileage Tracking

How does GPS mileage tracking work?
When you log an activity that involves traveling to your property, STRTrackr uses your phone's GPS to automatically calculate the miles driven. The mileage is recorded alongside the activity, linked to the property and category, and timestamped — giving you an IRS-ready mileage log without any manual entry.

Do I have to turn on GPS manually for each trip?
You can start GPS tracking when you begin an activity log and stop it when you arrive. The app records your route and calculates the total miles automatically. You can also manually enter miles if you forgot to start tracking.

What mileage deduction can I take?
The IRS allows you to deduct business miles at the standard mileage rate (67 cents per mile in 2024) or using the actual expense method. STRTrackr's mileage log supports both methods. Consult your CPA to determine which is best for your situation.

Are GPS mileage records included in my year-end export?
Yes. Your PDF and CSV reports include a full mileage breakdown by property, participant, and activity category — alongside your time log. Your accountant gets a single, complete picture of both your hours and your miles.

What trips qualify for the mileage deduction?
Trips made for an ordinary and necessary business purpose related to your rental property — such as driving to the property for repairs, cleaning, inspections, guest check-in, supply runs, or contractor meetings. Personal use trips do not qualify. See our

Reports & Tax Time

How do I generate a report for my accountant?
Go to the Summary or Reports section of the app, select the tax year and property you want to report on, and tap Export. You can generate a PDF or CSV file that shows all activities, total hours, and a breakdown by category and participant.

Can STRTrackr help support a material participation claim?
STRTrackr helps you maintain a contemporaneous activity log — records made at or near the time each activity occurred — which is the type of documentation the IRS generally looks for. However, STRTrackr does not provide tax or legal advice, and no app can guarantee any tax outcome or audit result. Whether your records satisfy IRS requirements depends on your specific situation, the accuracy and completeness of your entries, and guidance from your tax professional. We strongly recommend consulting a qualified CPA or tax attorney and keeping STRTrackr records alongside receipts, invoices, and other supporting documentation. Use of STRTrackr is at your own risk.

What is the 14-day rule?
The IRS 14-day rule determines whether a property is classified as a rental property or a personal residence for tax purposes. If you rent the property for 14 days or fewer per year, rental income may be tax-free. If you rent for more than 14 days, your activity and use become critical for determining deductions.
